Data Policy
Last Updated: August 1, 2026
This Data Policy explains, in more technical detail than our general Privacy Policy, exactly what data our tools process, how, and why. It applies to your use of seosoftwareai.com and the SEO Software AI mobile application (the "Service").
1. Data Processed by Our Tools
Our tools fall into a few categories, each handling data slightly differently:
Text-processing tools (Plagiarism Checker, Word Counter, Case Converter, Keyword Density Checker, and similar utilities): the text you submit is sent to the relevant processing engine — either our own server logic or a third-party API — solely to generate your result. This text is not permanently stored on our servers beyond the active processing session.
Domain and network tools (DNS Lookup, IP Lookup, Website Status Checker, and similar): the domain, IP address, or URL you submit is used only to query public technical records (such as DNS records) and return the results to you. We do not retain a history of which domains you have checked tied to your identity.
Search and ranking tools (Index Checkers, Keyword Suggestion, and similar): the keyword or domain you submit is sent to third-party search data providers to retrieve real-time search result data, which is then displayed back to you.
YouTube analysis tools: the video or channel link you submit is used to query the official YouTube Data API and return publicly available video and channel metadata. We do not access any private YouTube account data, and we do not request or store YouTube credentials on your behalf.
AI-assisted tools: the content you submit is sent to a language model provider solely to generate the analysis or recommendation you requested. Your input is not used to train any model.
Offline tools in the mobile application: several tools run entirely on your device. The text you enter never leaves your phone and is never transmitted to us.
2. Account Data
Creating an account is optional. Many tools work without one. If you do create an account, we store the following, and nothing more:
| Data | Purpose | Retention |
|---|---|---|
| Email address | Authentication, account recovery, essential service notices | Until account deletion |
| Password hash | Authentication (stored as an irreversible hash; we cannot read your password) | Until account deletion |
| Username and avatar | Your public identity and leaderboard entry | Until account deletion |
| Privacy level | Enforcing your chosen public visibility | Until account deletion |
| Activity points | Leaderboard ranking | Until account deletion |
| Subscription status | Unlocking premium features on web and mobile | Until account deletion |
We do not collect your real name, phone number, physical address, date of birth, payment card details, or any government identifier.
3. Google Search Console Data
Connecting Google Search Console is entirely optional and is requested separately from account creation.
Scope of access. We request read-only access (webmasters.readonly). We cannot modify your website, submit URLs, change settings, or delete anything.
What we retrieve. Performance metrics only: clicks, impressions, average position, click-through rate, and the associated queries, pages, and dates.
How it is stored. Access tokens are stored in encrypted form. Retrieved metrics are cached to reduce repeated API calls and to enable period-over-period comparisons. This cache is deleted when you disconnect Search Console or delete your account.
How it is used. Exclusively to generate the reports and recommendations you request. Your Search Console data is never shown publicly, never shared with other users, never sold, and never used to train any model.
Revoking access. You may disconnect at any time from your account settings, or directly through your Google account permissions. Revoking access immediately stops all data retrieval.
4. Public Leaderboard
Leaderboard participation is governed by a privacy setting you control:
| Level | Shown publicly |
|---|---|
| Anonymous (default) | A generic identifier only, e.g. "User #1247" |
| Public | Your chosen username, avatar, and activity points |
| Showcase | The above, plus a website you explicitly mark as public |
Your email address, your Search Console data, and any website you have not explicitly marked as public are never displayed at any privacy level. Changes to your privacy level take effect immediately.
5. Other Data We Store
- Contact form submissions (name, email, message) — retained to respond to your inquiry and for a reasonable period afterward for record-keeping.
- Newsletter subscriber emails — retained until you unsubscribe.
- Aggregate, anonymised analytics data — used to understand overall traffic and tool usage patterns; not tied to your individual identity.
- Standard server logs (IP address, browser type, timestamp, pages requested) — retained for a limited period for security, debugging, and abuse prevention.
6. What We Do Not Do
We do not sell your personal data to third parties. We do not use the text, URLs, or search performance data you submit to build advertising profiles about you. We do not share your account data, email, or Search Console data with any advertising network. We do not use your data to train language models.
7. Payment Data
Subscription payments are processed entirely by Google Play Billing. We never receive, see, or store your payment card details, billing address, or any financial information. We receive only a confirmation from Google that a valid subscription exists, along with its product identifier and expiry date.
8. Third-Party Data Processors
The following third-party services may process data on our behalf as part of delivering our tools, authentication, and advertising:
| Service | Purpose |
|---|---|
| Google Analytics | Aggregate traffic and usage analytics |
| Google AdSense | Advertisement serving on the website |
| Google AdMob | Advertisement serving in the mobile application |
| Google Sign-In | Optional authentication |
| Google Search Console API | Retrieving your search performance data (with your consent) |
| Google Play Billing | Subscription payment processing |
| Google APIs (YouTube Data API, PageSpeed Insights) | Powering YouTube and performance tools |
| Google Gemini | Powering AI-assisted analysis and recommendations |
Each provider processes data according to its own privacy and data handling policies, which we encourage you to review independently.
9. International Data Transfers
Because we rely on third-party APIs operated by companies based in various countries (including the United States), data you submit to our tools may be processed on servers located outside your country of residence. By using our Service, you acknowledge and consent to this transfer.
10. Your Data Rights
You may at any time:
- Access the data we hold about you
- Correct inaccurate information
- Change your public visibility level
- Disconnect Google Search Console
- Delete your account and all associated data permanently
Account holders can perform most of these directly from account settings. For anything else, or for data not tied to an account (such as contact form submissions), email us at contact@seosoftwareai.com. We will respond to legitimate requests within a reasonable timeframe.
11. Data Security
We apply reasonable technical and organizational measures to protect data processed through our Service, including SSL/TLS encryption for data in transit, irreversible hashing of passwords, and encrypted storage of third-party access tokens. Internal access to production data is limited to what is strictly necessary for operating the Service. However, no online system can be guaranteed 100% secure.
12. Updates to This Data Policy
We may update this Data Policy periodically to reflect changes in our tools, third-party providers, or applicable regulations. The current version will always be available on this page with an updated "Last Updated" date.
